Text messaging for sales and marketing comunications

BrightDoor Central now allows you to schedule and send SMS text messages to one or more contacts. It’s an ideal solution for a variety of sales and marketing related efforts, including:

 

Automated activity reminders

Text reminders are enabled per activity type by your company adminstrator, or your BrightDoor Customer Success Manager. Typical activities that work well to include text reminders for include tours, virtual tours, and other location or time sensitive activities. To avoid confusion, confirm with your team ahead of time on which activities have text reminders enabled.

 

Important note for agents
Before you get started, you may need to make profile updates to receive text reminders. Visit your BrightDoor Central Profile by selecting your name from the top right header, and choose My Profile.

If you already had a mobile number in your Primary or Secondary phone fields, we’ve assigned that as your Preferred Text Number. If that’s correct, you’re set and don’t need to do anything else. If you need to add a mobile number and want to assign it to receive text reminders, follow this screen reference and instructions below:

 

  1. In the Details section, add your mobile number and select Save at bottom left to update your profile. You’ll return to the previous screen.
  2. Return to your profile (again, choose your name from the top right header, then My Profile). Now, in the BD Central Preferences section – select your mobile number from the Preferred Text Number picklist to assign it to receive text reminders. Select Save to finish.

 

How automated activity reminders work
When you create an activity that has text reminders enabled, two new fields will appear in the Activity Manager – Contact Reminder and Contact Number.

 

  1. The Contact Reminder checkbox might be auto-selected by default. If not, you can select it manually.
  2. In the Contact Number list, select the contact’s mobile number to receive the text reminder.
  3. Select Save to complete the activity creation.

 

The text reminder will be sent in advance of the activity based on a preset time setting determined by the adminstrator (default is 24 hours prior to start time). Text messaging is time zone based and your message will be delivered based on the time zone in your Text Messaging admin settings.

 

Agent to contact messages

When working with a prospective buyer, the agent might already be communicating via text on their mobile device. BrightDoor Central text messaging isn’t intended to replace all the two-way messaging that might be happening during the sales process. However, using BrightDoor Central is ideal for important text messages where capturing the activity in your CRM makes sense (for example, sharing a product favorite link or sending an online survey). Here’s how to do it:

 

  1. Open the contact record you wish to text. Select the new Messages & Actions button to the right edge of the Activity tab view.
  2. Choose Text This Contact from the menu to open a text message window.

 

  1. Confirm the contact’s mobile number. You can pick a different one if needed.
  2. Optionally, you can select a text template to jumpstart your message. Select Insert Template and choose the one you wish to use.
  3. Whether based on a template or written from scratch, compose your text message. If you include any full URL links, you can tap the Shorten URLs button to create short links (and save valuable text characters).
  4. If you want to send the text immediately, simply select the Send button and you’re done.
  5. To schedule for a future date, select the Schedule for later link and select a day and time from the calendar. You can clear the scheduled date by selecting the cancel X on the Scheduled Date section.

You can access any scheduled texts by selecting the Messages & Actions button from the Contacts page, and choosing View Scheduled Texts from the menu.

 

Marketing Campaigns

If you wish to send a text message marketing campaign to up to 5,000 contacts, you can now do it in BrightDoor Central. We encourage marketers to be thoughtful around the campaign contents and ensure your target contacts have all opted-in for text messaging. Some practical examples of text messaging campaigns include special offers, upcoming social events, or other marketing efforts where broad reach makes sense. To create a campaign:

 

  1. Begin on the Contacts page and use the search filters to create your target list.
  2. With your target list defined, either manually select the checkboxes for each contact, or use the global checkbox at the top left of the Full Name column to select the page or all results. Remember, 5,000 contacts is the maximum number of allowed campaign recipients.
  3. Next, click on the Messages & Actions button and choose Text Selected Contacts from the menu. The text message composer window will appear.

 

  1. In the To field, enter a Contact Group Name for your campaign (required).
  2. If you have an existing text template you wish to use, select it from the Insert Template menu.
  3. Compose your text message. If you have full URLs, use the Shorten URLs button to shorten them and save valuable characters.
  4. If you wish to send the campaign immediately, you can select the Send button and you’re done.
  5. To schedule for a future date, select the Schedule for later link and select a day and time from the calendar. You can clear the scheduled date by selecting the cancel X on the Scheduled Date section.

You can access any scheduled campaign texts by selecting the Messages & Actions button from the Contacts page, and choosing View Scheduled Texts from the menu.
